Executive Administrative Assistant

Overview
The Executive Administrative Assistant provides on-site support to one or more vice presidents by performing general administrative work such as managing schedules, running reports, copy/filing documents and answering the phone. This role will alsosupport the administration, logistics, travel and onsite delivery of department meetings. They serve as the primary liaison for attendee communication, travel arrangements, general logistics and financial reconciliation processes.
Duties and Responsibilities
  • Manage calendars, schedules and make travel arrangements; organize and prioritize meetings throughout the day
  • Receive, screen, and direct calls, visitors, mail and email throughout the day
  • Create correspondence, presentations, agendas and reports
  • Coordinate and manage small projects as requested
  • Prepare and submit expense reports on a timely basis according to company policy
  • Maintain confidentiality and discretion with sensitive issues
  • Greet visitors with a professional and friendly demeanor
  • Attend meetings and take notes as requested
  • Provide back up support to other administrative team members during absences or as needed
  • Plan and coordinate on-site and off-site meetings
  • Maintain and order supplies as needed
  • Able to review and create reports, manipulate and analyze data, and provide insights to solve problems based on established market and industry reports.
  • Perform other related duties as assigned

Qualifications
Minimum Qualifications
  • High school diplomaand 3 years of experience or equivalent education and related experience
  • Proficient in Microsoft Office Suite
Preferred Qualifications
  • Bachelors degree
  • Strong communication skills – written, verbal, persuasion, motivation, facilitation of strong working relationships
  • Knowledge of other MS Office Suite and/or software applications related to job functions
  • Excellent interpersonal, customer service, analytical/problem solving, problem management, presentation development, presentation, and communications skills
Physical Demands
  • Physical demands with activity or condition for a considerable amount of time include sitting and typing/keyboarding using a computer (e.g., keyboard, mouse, and monitor) or adding machine
  • Physical demands with activity or condition may include occasional to rare amount of time include walking, bending, reaching, standing, and stooping
  • May require occasional lifting/lowering, pushing, carrying, or pulling up to 15lbs
