Collections Specialist

Description

Basic Function:The Collection Specialist position is accountable for National Account and Chain collection management, over 90 days collections for Broad Market and statewide Bill and Hold Storage billing and collections.

National Account/Chain Collections Management:

·Monitor accounts to identify outstanding debts

·Build and maintain relationships with Accounts Payable representatives for each retailer.

·Regularly reconcile accounts and resolve all billing and credit issues prior to state reporting deadlines.

· Investigate, understand and be able to explain each delinquent item.

·Maintain account payments through Fintech, EDI, Wire Transfers, ACH, Echeck, etc.

·Act as liaison between customer and sales with regards to credit issues.

·Bring all operational issues presented by the customer to resolution utilizing relationships with Customer Service, Warehouse and Delivery.

Inside Collections on Over 90 Accounts:

· Review Over 90 Day account files and prepare Letter of Intent for each new file.

·Utilize Skip Trace programs and other collection strategies to locate licensees, owners and associated with the delinquent accounts.

·Present collection options, overcome stalls and objections and negotiate payment arrangements that will help hit recovery goals.

·Secure information to utilize payment options (echeck, wire transfer, ACH, etc)

· Understand State Law with regards to liquidations and debt settlement.

·Manage through all liquidations from permit approval through pickup, credit and cash application.

·Prepare dead files for outside collection agencies on or before the 120-day mark.

·Maintain and process all bankruptcy files and submit proof of claims.

Statewide Bill and Hold Storage Billing and Collections

· Manage monthly billing for B&H storage fees which includes maintenance of monthly spreadsheet, uploading file to vendor for invoicing, approving Final Statement Proofs from vendor and uploading file in Quickbooks.

·Work with accounting to correct any monthly GL issues.

·Maintain delinquency list and follow lockdown procedures for future B&H releases.

·Notify Customer Service department of all delinquencies for communication to sales.

· Post B&H storage payments to quickbooks and perform regular account reconciliations that would include application of credits and write offs as necessary.

·Monitor inactive accounts and work with department manager to liquidate B&H inventory as necessary.

·Make recommendations for write offs based on inactivity and/or age of debt.

Qualifications

Required Skills:

·Collection experience and the ability to be firm but professional when dealing with difficult and sensitive financial situations.

·Advanced problem-solving skills and the ability to negotiate

·The ability to multi-task and prioritize in a fast paced environment

·The flexibility necessary to adapt quickly to changing business conditions as well as to changing priorities

·Intermediate knowledge of Microsoft Excel and Word and advanced math skills

·Excellent verbal and written communication skills


Education: minimum HS/GED with post-secondary coursework in Accounting, Finance or business; bachelor’s degree in Accounting, Finance or related field preferred


Experience: three years’ experience in Accounts Receivable, Collections or similar role; prefer four or more years in a collections-focused environment
